Job Details
Duties and Responsibilities
1. Front Desk & Client Interface
• Professionally receive and attend to clients, vendors, contractors, and visitors
• Answer and direct incoming calls, ensuring prompt communication with relevant departments.
• Manage visitor access, maintain logs, and ensure compliance with company security procedures.
• Provide basic information about company services, ongoing projects, and directions.
• Undertake general clerical and administrative tasks to support the services as required (post processes, photocopying, scanning)
• Establish and maintain effective business relationships with external and internal customers, improving communication between customers and the Company.

2. HR & Administrative Support
• Assist HR department with its activities.
• Provide administrative support to all Business Lines.
• Maintain accurate filing systems for operational and administrative records.
• Assist in coordinating staff schedules, site visits, and logistics movements.
• Manage office supplies and keep inventory of stock.
• Coordinate meeting room usage.
• Maintain staff records and attendance logs
• Maintain and update employee personal files (both physical and digital)
• Track contract renewals, confirmations, and probation timelines
• Ensure all employee records comply with company and regulatory standards
• Handle filing of disciplinary records, commendations, and performance documents

3. Employee Engagement & Welfare
• Coordinate staff welfare initiatives (birthdays, celebrations, support during emergencies)
• Help coordinate staff welfare activities and internal events
• Assist in organizing team-building activities and company events
• Support internal surveys (employee satisfaction, engagement feedback)

4. Training & Development Support
• Coordinate training schedules and logistics (venues, materials, attendance)
• Maintain training records and staff development logs.
• Assist in tracking mandatory training (e. g. , safety training for engineering teams)
• Support performance review processes with documentation and scheduling.

5. Attendance, Leave & Time Management
• Manage leave applications and maintain leave records
• Support leave tracking and HR documentation


Key Competencies
• Proven experience as general admin position.
• Proficient in Microsoft Office Suite.
• Outstanding organizational and time management abilities
• Excellent communication and interpersonal skills
• Problem-solving and decision-making aptitude
• Strong ethics and reliability


Academic and Professional Qualifications
• Diploma or Bachelor’s degree in HR or Business Administration, or a related field.
• Minimum of 2–3 years’ experience in a front desk or administrative role (experience in logistics, construction, or engineering is an advantage)
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Strong communication and organizational skills
