DENTAL TREATMENT COORDINATOR

About the Role

We are looking for a smart, emotionally intelligent and highly polished Dental Treatment Coordinator to join a leading dental clinic. The Treatment Coordinator will serve as an important link between patients and the clinical team, helping patients understand recommended treatments, costs, timelines and available options while ensuring a warm, professional and seamless patient experience.

The ideal candidate should be people-oriented, confident, articulate and commercially aware, with excellent customer service skills and the ability to communicate comfortably with different types of patients.

Key Responsibilities
Welcome, engage and support patients throughout their treatment journey.
Explain recommended dental treatments, procedures, treatment plans, costs and payment options to patients in a clear and understandable manner.
Act as a bridge between dentists, other clinical staff and patients to ensure smooth communication.
Follow up with patients regarding proposed treatments, appointments and outstanding treatment decisions.
Build positive relationships with patients and help address their questions, concerns and expectations.
Handle patient enquiries professionally through phone, WhatsApp, email and in-person interactions.
Coordinate consultations, treatment appointments and follow-up visits.
Maintain accurate and up-to-date patient and treatment records.
Work closely with dentists and the clinical team to ensure patients receive accurate information about their proposed treatments.
Identify opportunities to improve patient engagement and encourage patients to proceed with recommended treatments where appropriate.
Handle sensitive or anxious patients with patience, empathy and emotional intelligence.
Address patient concerns professionally and escalate clinical matters to the appropriate dental professional when necessary.
Support the clinic in delivering an exceptional patient experience from first contact through completion of treatment.
Follow up on outstanding treatment plans and maintain appropriate communication with patients.
Assist with general front-office and customer service activities when required.
Maintain confidentiality and professionalism when handling patient information.

Requirements
Bachelor’s Degree in any relevant discipline.
Previous experience in customer service, patient relations, sales, hospitality, healthcare administration, dental services or a similar client-facing role is highly desirable.
Excellent spoken and written English.
Polished and professional communication skills with the confidence to interact with patients from diverse backgrounds.
Strong interpersonal and relationship-management skills.
High level of emotional intelligence, empathy and patience.
Smart, presentable, confident and highly professional in appearance and conduct.
Strong customer-service orientation with a genuine interest in helping people.
Ability to explain information clearly without using unnecessarily technical language.
Good persuasion, negotiation and follow-up skills.
Strong attention to detail and ability to maintain accurate records.
Good computer literacy and ability to work with digital communication and office systems.
Ability to remain calm, professional and solution-oriented when dealing with difficult or anxious patients.
Ability to work effectively with dentists, nurses, administrative staff and other members of the clinic team.
